Privacy policy

1. Who is responsible

Cleared is software operated by WRKTXT LLC, a Wyoming limited liability company. Altior is the football agency using Cleared to review player profiles and manage its scouting and consent workflow.

For player and family records submitted to Altior, this draft assumes Altior decides why the information is collected and how it is used, and WRKTXT LLC processes that information to provide and secure the software under its arrangement with Altior. WRKTXT LLC handles its own account, service-operation, and security information. The parties must confirm this allocation in their written agreement before launch.

2. Information the service handles

Depending on how the service is used, it may handle:

• Player identity and contact details, date of birth, location, nationality or passport-related details, football positions, club and playing history, goals, and representation information.
• Parent or guardian name, contact details, relationship to the player, and consent or withdrawal records.
• CV files, video and other materials or links, game schedules, scout evaluations, meeting notes, and internal agency notes.
• Agency account name and email, password hash, session and security information, and records of consent requests and profile-sharing activity.
• Information about club or agent recipients, such as names, contact details, country, and the status of a profile link.

3. How information is collected and used

Information may be provided by a player, a parent or guardian, or Altior staff. The service uses it to receive and review profiles, communicate with families, arrange and record consent, coordinate scouting, and share selected profile materials with recipients authorized by Altior and the applicable consent.

Technical information, including browser or device details and activity on a private profile link, may be used to secure the service and show link activity to the agency and family. Cleared is not designed to make an automated decision about whether a player receives representation, a trial, or a contract; agency personnel make those decisions.

WRKTXT LLC does not use player materials for advertising or to promote unrelated services. Cleared is not used to sell player records.

4. Consent, players under 18, and sharing

The current intake workflow directs players under 13 to have a parent or guardian contact the agency. For a player under 18, the workflow requires a parent or guardian email and obtains guardian consent before a profile is shared. An adult player provides their own consent. Legal requirements differ by location; Altior is responsible for checking that the workflow and any consent are appropriate for each player.

A profile may be shared with scouts, licensed agents, or clubs within the scope Altior describes, using a time-limited link that can be revoked. The family can use the consent-management link to review recorded activity and withdraw consent. Withdrawal stops future access through Cleared links, but cannot retrieve copies a recipient already downloaded or independently retained.

5. Who receives information

Player information is available to authorized Altior staff and may be shared with the scouts, licensed agents, and clubs Altior selects, only as permitted by the applicable consent and agency instructions. Recipients may keep information they receive independently of Cleared.

WRKTXT LLC uses service providers needed to operate Cleared. The application runs on Replit and stores application records in PostgreSQL; the specific production database provider and hosting region depend on the deployment configuration and must be confirmed by WRKTXT LLC. If outbound email is enabled, the application sends email through Resend. Providers process information to deliver their services and under their applicable terms.

Player-submitted links may lead to third-party services such as video or file-hosting sites. Those services are governed by their own privacy practices. Information may also be disclosed when required by law or to protect people, the service, or legal rights.

6. Retention and deletion

The current application does not impose one fixed deletion schedule for player records. Altior determines how long its player, scouting, and consent records are needed and must set and follow an appropriate retention schedule. WRKTXT LLC retains service-account and security information for as long as reasonably needed to operate, protect, and administer Cleared, or as required by law or a written agreement.

Players, parents, guardians, and agency staff can send access, correction, deletion, or privacy requests to hello@clearedme.co. Requests about a player record will be directed to Altior, which decides how to respond as the agency responsible for that record. Some information may need to be retained for legal, safety, dispute, or recordkeeping reasons.

7. Product inquiries and landing-page measurement

WRKTXT LLC handles general Cleared product inquiries directly, separately from Altior’s player records. An agency call request may contain a business contact name, agency, email, monthly player range, optional business note, and campaign labels supplied with the link. A school pilot inquiry contains a school staff contact name and role, school, school email, sport and season. These details are used to respond to the inquiry and assess whether Cleared is a fit. This is not a newsletter subscription, a scheduled appointment, a signed pilot, or permission to process student records.

The two test landing pages use a first-party cookie for form security and a browser session lasting up to 24 hours. Measurement records contain a random session-derived key, the page variant, an allowlisted interaction, and its time; they do not contain names, emails, agency names, notes, raw IP addresses, or browser user-agent strings. Repeated interactions count once per session and page. Known bots and requests with Do Not Track or Global Privacy Control enabled are excluded from measurement, but can still submit an inquiry.

New agency and school product-inquiry contacts are retained in the live application for 90 days; test event records for 30 days. Expired records are purged on subsequent inquiry-page or admin activity. An authorized administrator can delete an inquiry earlier. Hosting-provider backup retention is separate and must be confirmed before relying on a final retention policy. Email hello@clearedme.co to request access, correction, or deletion of a product inquiry. Please do not include private student, player, or family information in an inquiry or campaign tags.

8. Cookies and security

Cleared uses essential cookies for signed-in sessions and short-lived status messages. The current application does not configure advertising cookies or behavioral-advertising analytics.

The service uses access restrictions, password hashing, session protections, consent-gated sharing, and revocable links. No online service can guarantee absolute security. The deployment provider’s encryption, backup, access, and data-location settings should be verified before real player data is entered.

9. Your privacy choices

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your information, or object to or restrict certain processing. You may withdraw consent using the family link or by contacting Altior. To make a request, email hello@clearedme.co; include enough information for the agency to identify the relevant record, but do not send passwords or other secrets.

If you are a parent or guardian acting for a player, identify your relationship to the player. We may need to verify a request before acting. You may also have the right to contact your local privacy regulator.

10. Changes and contact

We may update this policy as Cleared or its data practices change. We will post the revised version here and update its revision date. Material changes should be communicated to affected users where required by law.
